I1 Respond to enquiries and identify needs

This is about responding to enquiries from people who are starting or running businesses, whether by phone, email, web chat, social media or in person. It involves asking the right questions to find out what they really need, providing information or directing them to the right support, and building their confidence in the service.

What you need to show

  • I1.1

Deal with enquiries promptly, politely and in line with your service's standards, whatever the channel

  • I1.2

Encourage the client to explain what they need, and ask questions that uncover their real needs beyond the initial enquiry

  • I1.3

Ask for advice and guidance when you are not confident that you understand the client's business needs

  • I1.4

Manage the client's expectations about what the service can provide, including the benefits, limitations, timescales and any costs

  • I1.5

Provide information, or direct the client to specialist information, advice or support, giving contact details or making introductions where appropriate

  • I1.6

Explain the scope of your organisation's services and any funded support the client may be eligible for

  • I1.7

Check that the client has understood the information, pacing it to suit them

  • I1.8

Keep accurate and secure records of each enquiry and the action taken, in line with data protection requirements

  • I1.9

Assure the client that their information is confidential, and explain how it will be used and when it will be shared with their consent

  • I1.10

Close each contact in a way that makes the client want to come back
